Hi All - In Frank's absence, I served as scribe for last night's meetings. Here are the notes, in no particular order of discussion. Special thanks to Karen W. for attending and providing some fresh insight and perspectives.
November 7 Team Meeting: " We're all set for Doug Wright at DSF. 6pm with food provided by the team. Scott will order/coordinate via Nugget. Tammy at DSF is super excited to be hosting. " At the team meeting, we'll have a short handout for members to tell us what races they've completed this year. Useful for documentation and sponsorship presentations. " We'll create and post flyers at a few places to promote this event - DSF, Wheel Works, Fleet Feet, send to UCD-Tri Team. Scott will email Diana about putting together for distribution. December Holiday Party/Team Meeting " We'll look to host at Veteran's Hall, Stonegate, or DSF (space permitting). Scott will ask Tammy about DSF space options. Scott nominated Michael L to consider the alternate options. " This will be our Board elections as required. See below. 2011 Board: " Nominating Committee: According to the by-laws, we are to select a Nominating Committee 60 days prior to the Annual Meeting, which will also be our Holiday Party. The by-laws require that a simple majority of Board members be present for a quorum to exist (that's 6 out of 11 Board members - Section 7.4). Because there were only four Board members present at last night's meeting, no action was taken. This is very important, so we'll use Section 7.5 which allows us to take action without a meeting. I'll send a separate email on this. " Discussed amending the by-laws to reduce the number of Board members from the current eleven (11) required to a lower number. We'll discuss and vote on this at the next Board meeting. " 2010-2011 Sponsorships " We'll prepare framed team photos and distribute to this year's sponsors. Scott will check out pricing via Davis Trophy Shop. " " Karen Waggoner attended the meeting. She's agreed to contribute by organizing the Sponsorship info for next year. She'll continue to work with Randy and Keith to assemble key membership info and develop a short presentation/handout to use in approaching existing/new sponsors " Randy suggested using Athlinks.com to accumulate race history of members. Keith is going to review this website to see what format he would required to easily assemble this info into a useful format for presentations, etc. Team Races 2011 " Discussing having three (3) team races next year: o Tri for Fun (June 4, 2011) - This will also include a camp-out event. We'll be in touch with TBF and Rancho Seco 6 months ahead to reserve space. Sounds like a hoot! o o Tri for Real (Aug 7, 2011) - Will help to bring in longer distance racers plus give the shorter racers a distance goal o o Granite Bay Team Competition (Sept 24) - Got to bring home the bacon from those RATS in Reno. " For team races and other team events, discussed establishing an "Auxiliary Group" of spouses that would assist with organization, set-up, etc. Will discuss more at next meeting. Website stuff " Keith shared web traffic info. The pages with the most hits are 2010 Triathlons and Join the Herd " Keith added a "Be a sponsor" link " Starting next year, we will have an optional "Contact info" section - a headshot with phone/email for each member. This will be hosted in the passcode protected part of the site only. 100% optional. We've heard lots of times from members this year that they don't know each other or want to get in touch with one member w/o blasting the whole team via Google Groups. This will enable members to find individual contact info without having to distribution a member list out. Starting at the November meeting, we'll take a headshot for each member to be cataloging. " " Facebook page - we're not using this very much and Karen W. suggested that this would be a good vehicle to get out more info aside from just the occasional email blasts. We'll begin pushing members to "like" the Facebook page starting at the next team meeting so this can be an alternative way to reach members. " Scott will provide Keith an example of a Google-maps application that would enable us to show all of the locations where we've had Mad Cows Racers complete a race. Would be very cool for the website and sponsor presentation. Any omissions about topics covered her is purely unintentional. Thank you for reading.
